Project Management Assignment Exploring How Organisations Can Utilize PMBOK To Develop Effective Project Management Plans
Question
Task: How to use PMBOK on project management assignment to develop effective project management plans?
Answer
Stakeholder identification
Identification of the stakeholders is a major part of this project management assignmentwhich will be done at the initial phase of a project. Stakeholders are an important part of a business or a project. There are many individuals and organizations that are directly or indirectly influence effected by the project. Without the involvement of neither stakeholders, nor project can be completed. There is different project management frameworks used to manage a project. In this case, the PMBOK management model has been used to develop the project (Tenstep.com, 2016). As per the mentioned project management process, there are a few steps to identify the stakeholders. The first step is to collect the necessary documentation about the project. A project plan is beneficial to decide who the stakeholders are. Also, the project management plan is an important document in this case. The agreements are also needed to have a clear idea of the project scenario (Varajão, Colomo-Palacios, and Silva, 2017). After collecting the documents, a proper analysis is done by the experts. There are several stakeholders in this project of building an airport. There are different types of stakeholders in this project. Below is the list of the stakeholders with brief details.
Stakeholders |
Description |
Banks and Financial Units |
These are important to manage the financial sector of the project management assignment. With the involvement of these stakeholders, monetary issues can be easier |
Suppliers of raw materials |
Raw materials are a basic part of this project, and hence the suppliers play a major role. |
Electronics and electrical services |
To construct the entire airport, there are needs for electrical and electronics goods. This also an important part of this project. |
Interior designing unit |
The interior designing and developing unit works to give life to the construction. |
Airport Authority |
Airport authority of Australia is also a stakeholder of this project as the project is going under their authorization |
Workers |
There are different types of workers who make the project possible. They all are considered as the stakeholders of this project |
Management Team |
The management team manages the entire project in each of the phases. |
Stakeholder management
Not all stakeholders have the same influence on thisproject management assignment. Besides, not all the stakeholders are equally affected by a project. Based on the power and influence on the project, the stakeholders can be classified. Also, stakeholders can be classified as internal and external stakeholders. The units or individuals who are directly involved with the project management unit are considered as the internal stakeholders, and the rest are the external stakeholders. The power-interest matrix also helps to manage the stakeholders properly (Culpepper and Thelen, 2018). In this case, the management team, interior developing unit, and the workers are the internal stakeholders. On the other hand, Banks and Financial Units, Suppliers of raw materials, Electronics and electrical services, and Airport Authority are considered as the external stakeholders. The power-interest matrix helps the management unit to manage the stakeholders properly. As per the power unit matrix, there are different activities for different categories in the matrix (Abdollahi, Hosseini, and Alimohammadzadeh, 2019).

Quality management
Quality management is very important in this project management assignment as the project has different phases. There are lots of activities involving many workers and stakeholders. Without proper quality management, the project cannot be successful. To maintain the proper quality of products and services, quality management is necessary. There are different segments of quality management. In this case, several types of quality management processes have been used to manage the overall quality of the project. The entire quality management process has a lot of activities. Those activities are listed below.
Quality management activity Description
Document management Documents are vital parts of this project management assignment project. To maintain the standard quality of the project, all the documents are needed to be managed properly (Palmaet al., 2019).

There are three types of quality management tool that are used in this project. The tools are discussed below.
The Cause-effect diagram has been used in this project to identify the possible effects of several factors (Asq.org, 2020).
Pareto chart is beneficial to identify and sort the significant factors of the project (Al-Hafiz and Said, 2020).
The Check sheet is very important in the quality management process. The data collection and analysis can be done using this check sheet.
Procurement management
There are different types of contracts and delivery methods in the identified on this project management assignment. Procurement management is an essential part of this construction project. This management system controls and manages the expenditure, earnings, and revenue of the project. There are different responsibilities like choosing the best contractor, having a suitable contract with the contractor, controlling the supplies of the project. These are the parts of a procurement management system (Know, 2020).
In this case, the Design-Bid-Build delivery process has been selected. This will allow the project to have the best contract deal and better quality. Firstly, the design is made by the respective planners of the project. After that, a proper contractor is selected in the bid segment. At last, the construction is completed (de Araújo, Alencar and de Miranda Mota, 2017).
There are many types of contracts in the procurement process. In this case, the Cost-plus-Fee contract type has been chosen. This is very important to keep in mind that the cost can always be variable (ZHANG and LIN, 2018). Under this circumstance, world economy is going to be affected by the covid-19 pandemic. Hence, other models of contracts can be risky. In this case, no matter what the costing will be, the fees will always be fixed. This contract is the most suitable one for this project management assignmentproject (Fleming, 2019).
The Youth Rugby project team is facing different types of problematic issues in managing the event. The possible solutions to the experienced issues are discussed below.
Issues |
Recommendation |
Referees failing to show up at designated games
|
Referees are for an important part of a game like Rugby. The matches cannot be completed without the referees. The decisions of referees have a huge impact on the match results (Greenwell, Danzey-Bussell and Shonk, 2019). Hence, the referees should have skills and accuracy to provide the proper decision during the match. A wrong decision or inaccurate decision can change the match. The current referees are not doing well in the matches. Under this circumstance, referees can be selected from other sources. Replacement of the current referees can avoid this issue |
Fighting between teams |
These incidents are totally unexpected and unsporting. There are a number of participating teams in this tournament. Fighting among the teams destroys the spirit of sports. The competition and rivalry should be on the field only. This issue may be caused by the unfamiliarity of other teams to a team. Motivational games and icebreaking activities with all the teams can help this situation (Schwarzet al., 2019). A motivational speech can also be beneficial in this case. The players need to understand that respecting other teams is the first condition of a team game. |
Pivotal error committed by a referee that determines the outcome of a game
|
Referees play a major role in games like Rugby. The pivotal error in decision making can change the result of a match. This is quite natural, and this cannot be avoided by the management. As per the rules of the game, the players are dependent on the decisions taken by the referee. The management only can help in having better and skillful referees for the game who can produce accurate decisions. Also, there are chances of making wrong decisions. This is a part of a game. Therefore, this issue should be accepted, hoping for the best. |
Abusive behaviour along the side-lines by parents
|
This is not a good issue for this tournament. The parents are beavering abusively to the players of other teams and to their parents also. This is a very unhealthy practice and should be stopped immediately. The parents need to understand that their children are also learning these kinds of things from them. This is unethical an unsporting. The management of the project can arrange a meeting or a conference with all the parents and have words with them. A proper guideline will be beneficial to avoid this issue. The guideline will be developed strategically so that the parents cannot do these things again in the game. |
Inadequate parking
|
This is a real problem for this project management assignmentproject. The parking of the venue is not adequate to provide space for all the cars. This issue makes the project not very successful. The project management team needs to avoid this issue. All they can do is to arrange another parking place or places near the venue. The project management unit should find other parking areas and manage those parking areas to park cars. An additional renting cost will be added by avoiding this issue. However, this is needed to be done to maintain the image and brand value of the project management unit. |
Not enough teams sign up for different age brackets.
|
The objective of this kind of game events is to have participants with different age groups. Under this circumstance, this is an important issue. To avoid this issue, proper promotion and campaigning of the event need to be done by the management team. With proper and innovative promotion and campaigning, it is expected that more players from different age groups will participate in the game. |
Serious injury
|
Rugby is a game of injury. Injuries cannot be avoided fully by the management. The management can check the safety systems and kits of the players before starting the match. Another thing the management can do is to arrange a proper and advanced fast-aid system in the venue. Also, adequate ambulance services are needed to be arranged in the field in case of any serious injury. |
Q3.
Expected monetary value this beneficial to identify the best option for gaining revenue. There are several models with different probability impacts (Mariottoet al., 2020). To choose one from the different model, the estimated monetary value will be calculated for each of the models. After calculating, the model with the highest EMV is selected (Costa, 2016). In his case, there are three different probabilities of customer appearance in the concerned project. The table of project management assignmentdata provided is as below;
Probability |
100 (40%)
|
120 (20%) |
140 (40%) |
Model I |
$10,000 |
$15,000 |
$14,000
|
Model II |
$8,000 |
$18,000 |
$12,000 |
Model III |
$6,000 |
$16,000 |
$21,000 |
As per this table, the expected monetary value (EMV) will be calculated for each of the three models provided in the table.
For the first model,
EMV for 100 people = 40*10000 = 400000
EMV for 120 people = 20*15000 = 300000
EMV for 140 people = 40*14000 = 560000
Overall EMV = 1260000
For the second model,
EMV for 100 people = 40*8000 = 320000
EMV for 120 people = 20*18000 = 360000
EMV for 140 people = 40*12000 = 480000
Overall EMV = 1160000
For the third model,
EMV for 100 people = 40*6000 = 240000
EMV for 120 people = 20*16000 = 320000
EMV for 140 people = 40*21000 = 840000
Overall EMV = 1400000
From the calculation of EMV, this can be identified that the EMV value his highest for the third model. Hence, the third model will be the most suitable to choose for this project management assignmentproject.
